Zoho Mail implementation: business email on your own domain

Operion is a Zoho partner and sets up Zoho Mail for SMEs that want business email, calendar and contacts under their own domain. We make sure the switch runs in an orderly way and that administration stays simple afterwards.

    What it does

    What Zoho Mail does

Zoho Mail is a business email service with calendar, contacts, tasks and notes. You use your own domain, so addresses look like name@yourcompany.com, and you manage users, aliases and groups in one admin console.

You work in the web app or the mobile apps. Through IMAP you can also use a mail app such as Outlook. Combined with Zoho CRM, emails end up with the right relationship.

    Who it is for

    Who Zoho Mail suits

It suits SMEs that want business email under their own domain, with administration an office manager can handle. It also suits companies that already use other Zoho apps, so that mail, CRM and calendar share one environment.

It is a less obvious step if your organisation is built entirely around another mail environment. In that case we weigh up in the intake whether switching is worth it.

    Set-up

    Choices in the set-up

These are the choices we make with you during the intake:

    • Domain and DNS

The DNS settings for your domain, including the MX records and the settings that keep your mail from being treated as spam (SPF, DKIM and DMARC).

    • Switching from your current mail

How existing mailboxes are moved, and when we switch the entry point of your mail so nothing is lost.

    • Aliases, groups and shared mailboxes

Addresses such as info@ or support@ that several colleagues read, with clear agreements on who picks up what.

    • Security

Two-step verification for users and a policy for passwords and devices.

    • Devices and apps

How your team sets up mail, calendar and contacts on phone and laptop.

    Connections

    Connections that matter

The most important connection is the one with Zoho CRM: mail and appointments with a customer appear on the relationship in the CRM, without anyone forwarding them.

If you use Zoho Desk, a shared address such as support@ can be the source of tickets. For other programs we work with standard connections and look in the intake at what is needed.

More about connections with your ERP, WMS and webshop is on integration.

    Questions

    Frequently asked questions

Can we use our own domain?

Yes. Zoho Mail works with your own domain. In the intake we record which DNS settings are needed and who changes them.

How does the switch from our current mail work?

We plan the switch in advance: mailboxes first, then the DNS settings. That way incoming mail is not lost. We discuss the exact order in the intake.

    Can I keep using Outlook?

Yes, Zoho Mail also works with Outlook and other mail apps through IMAP. Which functions you can and cannot use that way, we discuss in the intake.

Is Zoho Mail part of Zoho One?

Yes, Zoho Mail is one of the apps in Zoho One. You can also take it on its own.

    What happens after go-live?

After go-live you get four weeks of aftercare. After that, you can reach us on working days from 08:30 to 17:00 and we respond within 24 hours.
